Warehouse management / Stock ledger and counting
Stock you can trust, counted without closing the warehouse
Every receipt, pick, move, count and adjustment is recorded, and counting happens continuously instead of once a year.
Every unit accounted for
Every receipt, pick, move, count and adjustment is written to a permanent stock movement ledger. Entries are added, never edited, so you always know how stock reached its current level, and finance gets an audit trail they can follow.
- On hand, reserved, held and available stock by location or by product.
- Stock as at any date, for month-end and audit questions.
- One-click reconciliation of balances to the ledger, including reservations that no longer belong to any job.
- Reservations stop the same stock being promised twice.
- Holds and reviews keep missing, refused or exception stock under control until a supervisor decides what to do.
Counting without closing the warehouse
Policy-driven perpetual inventory replaces the disruptive wall-to-wall stocktake. Instead of stopping everything once a year, the system schedules small counts continuously.
- Count types: cycle, location, product, shortage, recount, ad hoc and empty-location counts.
- Count policy sets how often products should be counted, and highlights overdue ones.
- Blind counts on the handheld for honest results.
- Variance review. Differences outside your tolerance go to a supervisor, who can accept them as an adjustment or order a recount.
- Count history shows how accurate each product and location has been over time.
Exceptions are never silently lost
- Damaged stock moves to dedicated damage locations for review.
- Missing stock is held until a supervisor writes it off or orders a recount.
- Refused goods are held for a decision to return to the supplier or accept.
- Blocked and quarantine locations are protected from picks and put-away.
Why this matters
Accurate stock means fewer short shipments, less emergency buying and less cash tied up in safety stock. For the finance team it means month-end numbers that match the shelf. Read more in cycle counting instead of the annual stocktake and why a stock ledger matters.
Questions people ask
Can we still do a full stocktake if we have to?
Yes. A full count can be planned as a series of counts across locations. Many customers find they rarely need one once counting is continuous.
Does it keep our ERP stock figure in step?
The platform can compare its stock with a snapshot from your ERP and show differences for review. See ERP integration.
